Job Description

LHH Recruitment Solutions has partnered with a growing organization, and they are seeking a motivated, detailed, and highly experienced Executive Assistant to join their team in Algonquin, IL who will provide high-level support to an Executive Leader. The ideal candidate will have a minimum of 2 years of experience supporting senior leaders. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to handle confidential information with professionalism. The Executive Assistant will manage complex calendars, coordinate international and domestic travel arrangements, prepare detailed itineraries, data analysis, reporting, and create compelling PowerPoint presentations. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Strong written and verbal communication skills are required, along with the ability to interact professionally with internal and external stakeholders. Key Responsibilities:

  • Statistical Analysis: Conduct and interpret statistical analyses to support decision-making processes. Utilize various statistical software and tools to derive insights from data.
  • Data Management: Maintain and organize data sets, ensuring accuracy and accessibility for reporting and analysis.
  • Excel Expertise: Create complex spreadsheets, including pivot tables, macros, and advanced formulas. Automate routine tasks and streamline reporting processes using Excel.
  • Presentation Development: Design and deliver compelling PowerPoint presentations that effectively communicate data findings and strategic recommendations to stakeholders.
  • Scheduling and Coordination: Manage Executive’s calendar, schedule meetings, and coordinate travel arrangements while ensuring efficient use of time.
  • Communication Skills: Serve as a liaison between the EVP and other departments, facilitating clear communication and collaboration.
  • Project Management: Assist in managing various projects, tracking progress, and ensuring deadlines are met.
  • Travel Arrangements: Coordinate and arrange domestic and international travel itineraries, accommodations, and logistics.
  • Expense Reports: Process expense reports accurately and in a timely manner.
  • Confidentiality: Handle confidential and sensitive information with integrity and discretion.
  • Professionalism: Maintain professionalism and polished demeanor in all interactions and communications.

Qualifications and Skills:

  • Bachelor's Degree in Business Administration, Statistics, or Data Mining.
  • Minimum of 2 years of Executive Assistant experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Advanced Excel: Experienced creating complex spreadsheets, including pivot tables, macros, and advanced formulas.
  • Advanced PowerPoint: Experience designing PowerPoint presentations.
  • Experience with SAP (highly preferred).
  • Data driven and technologically savvy.
  • Strong organizational skills with high attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks and manage multiple deadlines.
  • Experience in a global or multi-cultural environment preferred.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Proactive and resourceful problem-solving skills.
  • Professionalism and polished appearance and demeanor.
  • Detail-oriented with a commitment to accuracy in all tasks.
