Our real estate team is seeking an organized and detail-oriented Real Estate Transaction Coordinator to assist our valued home buyers, investors, sellers, agents, project managers, and contractors from pre-contract to post-closing. In this role, you will ensure every client enjoys a seamless and stress-free experience by managing critical details such as coordinating inspections, collaborating with attorneys, agents, title companies, and home inspectors, managing escrow documentation, scheduling repairs, and ensuring all offers and counteroffers are properly approved.

Compensation- $45,000 + Bonus (Ability to earn over $75,000+ per year)

Responsibilities:
  • Obtain seller’s approval for the buyer’s offers and counteroffers to ensure the transaction process goes as quickly as possible
  • Look over all paperwork to confirm they have the correct signatures and dates, assuring that the closing process has been done accurately and efficiently
  • Save customer information in the CRM system, forward all necessary paperwork to the office broker for file compliance, and track transaction activities
  • Support sales agents, clients, and other parties with escrow-related paperwork, such as appraisals, titles, and mortgage loans
  • Ensure inspections are scheduled and assist with negotiating and completing any necessary repairs
  • Transaction Management: Oversee all aspects of transactions from writing contracts to addressing post-closing items such as gifts, repairs.
  • Inspection Coordination: Schedule and coordinate property and municipality inspections with home inspectors with clients, agents and other professionals.
  • Documentation Accuracy: Work closely with attorneys, real estate agents, and title companies to ensure timely and accurate documentation. Review all paperwork to confirm correct signatures and dates, ensuring the closing process is accurate and efficient and compliant.
  • Escrow Management: Manage escrow documentation, transaction timelines, and compliance with all deadlines. Support sales agents, clients, and other parties with escrow-related paperwork, such as appraisals, titles, and mortgage loans.
  • Approval Process: Obtain seller approval for buyer offers and counteroffers to keep the transaction process on track and moving quickly. Monitor offers and counteroffers to confirm compliance and proper approval.
  • Communication: Serve as the primary point of contact for clients, keeping them and all parties informed and updated throughout the process, providing top-notch customer service.
  • CRM, Record Keeping & Reporting: Save customer information in the CRM system, forward necessary paperwork to the office broker for compliance, and track all transaction activities. Maintain transaction records and ensure accurate progress updates in the CRM system and maintain daily reporting.
  • Negotiation Support: Assist in negotiating and completing necessary repairs following inspections. Coordinate with all relevant parties to ensure smooth resolutions.
  • Team Coordination: Work closely with listing, marketing, and buyer agents to ensure all transaction details are aligned, fostering collaboration within the team.
  • Listing Management: Property research, input listings into the MLS, maintain accurate information, comparative market analysis, and manage listing status.
  • Realtor Support: Arrange access and cleaning for homes, coordinate staging and open houses. Lockbox, keys and security, utility, and signage management. 

Qualifications:

Experience:

  • Proven track record in real estate transactions or administrative support preferred.

Skills:

  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in real estate software, CRM platforms, and Microsoft Office Suite.
  • Detail-oriented with a commitment to accuracy and efficiency.

Personality:

  • Positive, proactive, and customer-focused mindset.

Requirements:

  • Real estate license (preferred but not required).
  • Knowledge of local real estate transaction processes and timelines.
