Position Overview: The Operations Representative plays a crucial role in ensuring the smooth and efficient execution of our daily operations. This role is responsible for managing tactical aspects such as order/load management, appointment setting, supplier communications, and proactive problem resolution. Additionally, the Operations Representative will assist with pricing tasks and Supplier expansion initiatives while maintaining accurate and timely operational data. This position requires the ability to thrive in a rapidly growing environment, strong organizational skills, the ability to multitask, and a proactive approach to problem-solving, working closely with various teams to ensure seamless operational flow.

Key Responsibilities:

  • Order & Load Board Monitoring: Maintain awareness of boards to optimize load matching, monitor capacity, and manage operational efficiency and effectiveness
  • Order Management: Coordinate the management of orders/loads to ensure optimal capacity utilization and on-time deliveries.
  • Appointment Setting: Schedule and confirm appointments with suppliers/carriers, and customers to keep operations on track.
  • Order Tracking: Ensuring scheduled loads meet their delivery appointments, and that suppliers are completing the orders in the system timely.
  • Supplier Communications: Act as a front-end point of contact for suppliers, managing communications to ensure smooth operations and resolving issues promptly.
  • Proactive Problem Resolution: Identify potential operational issues early and work with internal teams and suppliers to implement effective solutions.
  • Pricing Support: Assist the Manager of Pricing and Operations in gathering, analyzing, and pricing new or existing business.
  • Supplier Network Expansion: Reach out to Supplier’s to get to know capabilities and service areas. Populate Supplier database with updated info, continue to expand Supplier relations.
  • Customer Service Line: Answering ad-hoc calls from our 1-800 line, assisting users with any questions on how to use or process loads on the platform.
  • Operational Execution: Support day-to-day execution tasks, including coordinating with sales, customer success, and operational leadership to align on priorities and ensure smooth workflow.
  • Data Integrity and Reporting: Ensure accurate data management related to loads, supplier interactions, pricing, and appointment details, with a focus on data integrity for reporting and decision-making.
  • Collaboration and Support: Work closely with the leadership team to pull duties as needed, supporting workload management and contributing to overall operational success.
  • Continuous Improvement: Contribute to identifying process improvements within operations, pricing, and supplier management, and support the implementation of best practices.

Qualifications:

  • Experience: 2+ years of experience in logistics coordination, operations, procurement, or a related field within the supply chain, pallet, or transportation industry.
  • Skills:
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in using load boards, TMS, Excel, and other relevant platforms.
  • Proactive mindset with strong problem-solving skills.
