Due to sustained growth and new project awards, we are seeking a seasoned and proactive Executive Assistant to provide top-level support to our President and Vice President.

Position Summary:

The Executive Assistant will serve as a critical right hand to both the President and Vice President, managing a broad range of high-level administrative and operational tasks. This individual will play a key role in enabling the executive team to operate at maximum effectiveness, ensuring seamless coordination of schedules, priorities, communication, and key initiatives. The ideal candidate is highly organized, professional, and adaptable, with exceptional judgment and a keen sense of confidentiality.

Key Responsibilities:

Executive Support:

  • Provide direct administrative and executive-level support to the President and Vice President.
  • Manage highly complex and dynamic calendars, including prioritizing internal and external meetings, site visits, and client engagements.
  • Arrange all domestic and international travel itineraries, accommodations, and logistics.
  • Draft, review, and manage correspondence, emails, memoranda, reports, and presentations.
  • Handle time-sensitive requests and maintain flexibility to adjust priorities quickly.
  • Coordinate executive communications with internal teams, clients, vendors, and external stakeholders.

Operational & Project Coordination:

  • Support executives in overseeing project pipelines, milestone tracking, and critical deadlines.
  • Collaborate with project teams to help streamline executive involvement in major project updates, client deliverables, and reporting.
  • Prepare executive-level materials and reports for board meetings, client presentations, and internal leadership meetings.
  • Assist with tracking key performance metrics, project budgets, and contract documents when necessary.

Confidentiality & Discretion:

  • Manage sensitive company and client information with the highest level of confidentiality.
  • Serve as a trusted partner and sounding board for executive leadership.

Office & Event Management:

  • Help coordinate corporate events, leadership off-sites, internal meetings, and industry networking events.
  • Maintain an organized executive office, supply inventory, and digital filing systems.

Relationship Management:

  • Act as a liaison and gatekeeper for the President and Vice President, facilitating effective communication with clients, partners, and senior leadership.
  • Cultivate and maintain positive relationships with project teams, consultants, and key stakeholders.

Qualifications:

  • 5+ years of experience supporting C-level executives (construction, real estate, or related industries preferred).
  • Strong business acumen with the ability to understand priorities in a high-volume, deadline-driven environment.
  • Proven ability to manage multiple projects and competing demands with a calm and professional demeanor.
  • Highly proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and project management tools.
  • Strong writing, proofreading, and verbal communication skills.
  • Demonstrated ability to exercise independent judgment, discretion, and confidentiality.
  • Proactive, solutions-oriented mindset with excellent organizational and problem-solving skills.
  • Bachelor's degree preferred (or equivalent relevant experience).
