Administrative Assistant

A well-established subcontractor in Orange, CA, with over 25 years of experience, is seeking an Administrative Assistant to join our team. We truly value our employees, offering a supportive work environment, benefits, and opportunities for growth.

Key Responsibilities:

Customer Service:

  • Answer and direct incoming calls and handle general inquiries.
  • Address customer questions with professionalism.
  • Coordinate and schedule inspections using the company database.

Data Management:

  • Input and maintain new customer information in the database.
  • Ensure accurate documentation of call details to support the management team.
  • Process paperwork, maintain documents, and perform word processing tasks.
  • Prepare and send invoices for completed jobs.
  • Manage the filing system and perform general office clerical duties.
  • Assist with event coordination when necessary.
  • Maintain office equipment and supplies.

Requirements:

  • Experience with databases, client communications, and scheduling inspections and construction project crews.
  • Strong organizational skills, with the ability to work in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • High level of customer service and professionalism.
  • Proficiency with Microsoft Excel, Word, and PDF software.
  • Ability to type efficiently.
  • Detail-oriented, able to multi-task, and maintain punctuality.
  • Positive and collaborative attitude.
